No one could have ever predicted (or fully) prepared for the COVID-19 pandemic, but every business must deal with the ramifications it has and will continue to have on its employees. And by every business, we mean every business’s HR team. That’s right, those tireless departments are now also tasked with handling their company’s response to a global crisis, and every step must be handled in a sensitive and considerate manner. With everything else that they have on their plates, these HR managers shouldn’t have to chase down employees each day ensuring that they’re well enough to work. Keeping Track: Company/Facility/Teams

The basic HR dashboard allows HR and all other Hayday administrators to track employee health screening requirements, outcomes, and risk levels at the individual, team, facility, and company-wide level. The customizable dashboard presents a list of employees sortable by who has Checked In with their health screening for work that day, their status (On Track, At Risk, Out Sick, etc.), whether or not they have COVID-19 symptoms (and if so, what they are), any reported exposure, and any other issues they might have reported. On a macro level, the dashboard includes the number of employees working on site, at home, and on the road, and how many are on leave. Furthermore, these numbers can be set to compare with the previous day’s, producing statistics on how many employees are newly At Risk, or are back On Track.

Keeping Track: Individual Employees

As each employee has their own HR file, so too do they have their own digital history screen for each day’s health screening for work. This screen includes an at-a-glance synopsis that declares the employee’s status and for how many days it has been that way, for example: “Tim has been On Track for 30+ days.” This page also notes the employee’s Check In history, including the Check In dates and times, their personal approximated risk each day, and their facility’s approximated risk. Also on this screen is the date for the next required work health assessment and that employee’s permitted Check In options (eg “At Home”; “On Site”; etc.). Each employee also has a daily Check In Report, which drills down into their Check In specifics, including temperature, symptoms, exposure level and any needs they might have for HR. If companies so choose, this is where the employee’s uploaded images of themselves wearing required PPE and shots of the thermometer live. Missing Check Ins

Dashboard owners can quickly see how many employees have not yet completed their health screening at work each day and pull up a list of their names and information, including their last Check In’s date, any symptoms, exposures or other reasons to be concerned. Importantly, this section includes how many staff members company-wide have missed their work health assessment for that day, how many are tracking likely for having COVID-19, and how many have been confirmed with COVID-19. Anyone who has not Checked In for several days is automatically moved into an at risk category. 

Facility-Level Analytics

If there is a spike in certain symptoms or employees Out Sick, Hayday administrators will be able to see and track this via their dashboard, and might even be able to determine which departments or facilities are most at risk. This could prompt a facility-wide determination to require all employees of that location work from home for a few days, or until the concern is mitigated. In this sense, Hayday has the capability to act as a customized contact tracing solution.

Approving for Return

Anyone who receives a confirmed diagnosis for COVID-19 is ineligible to Check In for On Site work and must request HR approval to be reinstated. The history functionality, wherein HR can review an employee’s health screening at work for previous days, will be crucial for this approval process.

Who Has Dashboard Access?

Access to the Hayday dashboard is determined by the company’s decision-makers during the setup process and can be set to allow access to any member of the company. Limited view dashboards can be arranged for certain team members, e.g. a mid-level manager can have access only to their own team members’ information. The dashboard access can be adjusted by admins at any time.
