By having employees self-report symptoms and diagnoses, wellness tracking allows HR to track employee health in real-time and respond rapidly to emerging trends.

How do I get started on Hayday?

Set up your Hayday dashboard and begin sending employee Check Ins in a matter of minutes.

What do I need to set up Hayday?

Setup is easy and fully self-service! After creating an account you will be prompted to select your Check In questions and cadence for your employee group(s), establish a risk threshold, and invite your employees to begin completing their Check Ins. The Hayday support team is available to assist at any point in the setup process. Click the blue chat bubble in the bottom right to talk to our support team now!

Can I choose what Check In questions to ask?

Yes! The standard Check In questions are based on CDC recommendations (i.e. symptoms, temperature, and exposure) but you have the ability to create custom questions based on your company's particular needs relating to employee wellness, engagement, or anything else. Questions can also be customized per employee group, e.g. by facility or team.

Can Hayday be customized to fit the needs of specific teams within my company?

Hayday is customizable to fit your company and team needs, including customizing teams into different Check In groups with unique survey questions, schedules, risk indicators, and cooldown periods based on risk indicators.

Can Check Ins be completed remote or on-site?

Both! Hayday can be configured for your employees to submit Check Ins before they arrive on-site as well as for employees or other visitors to complete when they arrive on-site, either by personal device or shared one (e.g. iPad in building lobby).

Can Hayday integrate with software I currently use?

How is Hayday priced?

Pricing is based on Monthly Active Check-In Users so that you only pay for employees who complete Check Ins, along with a monthly organization fee for HR and other administrators to access the Hayday dashboard.

What is the Hayday Check In experience for employees?

The employee experience centers around the Check In and is designed to be an easy and seamless moment of regular engagement. Employees receive a text/email notifications to access their Check Ins, which can be completed through the Hayday web app on all smartphones and tablets (nothing to download!). Can non-employees also utilize Check Ins?

Yes! Hayday Check Ins can be utilized for groups outside of your employee workforce, including visitors, contractors, and consumers. These individuals will simply create a Hayday account and then can complete Check Ins as needed.

 
 
 
 

Hayday for HR

Hayday is highly customizable, from the rich online dashboard to visualize all Check In results to varying levels of access/visibility for your teams.

How do employees complete their Hayday Check Ins?

Employees receive a text/email notifications to access their Check Ins, first to indicate where they are checking in from (e.g., At Home or On Site) and directed to their Check In questions. Employees will receive a boarding pass that clears them for on-site work if their Check In answers do not indicate risk based on the risk threshold you define in the setup process. If a Check In does indicate risk, then no boarding pass for on-site work will be granted and they will enter a "cooldown period" as defined by HR.

Where does HR access Hayday Check In results?

HR and other Hayday administrators have access to a customized dashboard to view all Check In results across individuals and facilities. Hayday admins will also real-time email notifications if an employee's Check In answers indicate any risk and thus a boarding pass is not granted to that employee.

How is risk defined for on-site clearance?

Risk can be customized during the setup process, with individual questions assigned a risk weighting based on your company's risk threshold. An overall risk index is defined based on the sum of the individual questions and the weighting you assign to each.

Can I add return-to-work resources/protocols for my team to access on Hayday?

Yes, there is a Help tab within the Check In experience where resources/protocols can be included. HR can also customize your “at risk” messages shown to employees to provide further instructions on how to proceed if their answers indicate risk.

How do we ensure Hayday boarding passes are valid?

Boarding passes change daily based on unique time stamps and colors. Additionally, employees who submit Check Ins that indicate risk will enter a temporary "Cooldown Period" as defined by HR that restricts their access to boarding passes.

Can Hayday Check Ins be submitted anonymously?

No, at this time all users must have a Hayday profile in order to complete Check Ins.

What kind of access does my staff/team have to the Hayday dashboard?

Access to the Hayday dashboard is defined by your administrators and can include full or limited views (e.g. a HR manager to view only certain team members' answers). Hayday dashboard access is defined during the setup process and can be adjusted by admins at any time.

Does Hayday provide other return-to-work services?

Hayday has a number of partners that provide other solutions to support your return-to-work strategy, including on-site testing, contact tracing, and staffing needs. The Hayday team is here to help, click the blue chat bubble at the bottom right to chat with our team.

What kind of feedback can employees provide HR through Check Ins?

Hayday Check Ins are designed to capture general employee feedback for HR around wellness and morale, and can be further customized to provide employees an opportunity to share more specific info with their company, e.g. request to speak with HR directly.

Are employers allowed to collect wellness data from employees?

Yes - the Center for Disease Control (CDC) promotes conducting wellness checks--including symptom and/or temperature screening--as part of their recommendations for employers responding to Coronavirus. The American Disablities Act (ADA) further requires that wellness data is consistent with business necessity. How is data captured through Hayday stored and protected?

Our databases run as Multi-AZ on Amazon Web Services, and all data is encrypted at rest and in motion. We ensure business continuity with a variety of backup systems including real-time logging and nightly full-DB backups to different servers.

How can access to data on Hayday be managed at my organization?

Access to Hayday and visibility of data is fully under your control, from initial user invitation via unique tokens to customizable user types/permissioning to ensure appropriate access privileges across employees. Access to Hayday and associated data can also be adjusted or revoked at any time, as necessary.

Is Hayday compliant with CCPA?

Yes, Hayday maintains a data protection program to achieve CCPA compliance as a service provider. As part of this compliance, Hayday has a consumer request process to assist businesses in responding to consumer requests where appropriate.

What security measures does Hayday have in place to help protect personal information it collects and processes?

Hayday uses administrative, organizational, technical, and physical safeguards to protect the personal information it collects and processes. Among other things, Hayday maintains an incident response plan to assist in providing notice in accordance with U.S. state data breach notification laws where applicable. In addition, Hayday enforces enterprise-grade information security measures via AWS, utilizes internal identity management via IAM, and follows the “least privilege” principle when it comes to data access in general.

What questions are employers allowed to ask?

The CDC has a recommended list of questions to monitor employee questions, which are the standard questions included in Hayday check-in surveys. Additional questions that are important to your organization can be added as part of the Hayday setup process.

How can I use the wellness data collected from my employees ?

In addition to the ADA and other federal guidance, individual state employment laws govern how employers can act on wellness data (e.g. if an employee shows signs of symptoms). Does HIPAA compliance apply to Hayday?

Hayday clients that are not considered a “Covered Entity” by HIPPA regulations are exempt from HIPPA compliance.
